3-      Where are these rates or contracts being maintained? - Unlike US, we dont sign contracts. We get the rates from the carrier, and these are workable we get them filed with the carrier against a quote ref number. These quotes are generally in our emails or in the common drive.  How long are these quotes valid for.  Besides saving them in the shared drive, are they added the rate sheet referred to below?  Are  these quotes updated in rate explorer?

These quotes are generally valid till the end of current month In certain cases specail rates can be obtained for a quarter, subject to changes in the surcharges. The rates on FE-EU tradelane are added on the rate sheet. These rates are not updated in the rate explorer.

Imports From  Far East / Asia into UK/France/ Parts of Europe-  - We have a common rate sheet between Hongkong / London/Paris office and resp offices update the rate on resp carriers as and when the carriers change the rates. Please find one of the example email attached. London/Paris/Hongkong offices work with different carriers so we get rates on various carriers and there comparisons in the attached sheet.

Exports From  UK/France/ Parts of Europe- Far East / Asia - These are handled on case to case basis. The rates are in emails/ common drives.

Please find Far East WB rates on MSC as attached.  Are all of the contracts received in similar format to the MSC?  There is no standard format. All shipping lines use different format, rather, every tradelane in the same shipping line use different formats as well.

In normal circumstances we prefer not to use coloaders for FCL shipmens. Exceptionally they can be used if they have exceptionally good rates for any of our particular business. rates are maintained in the emails only.

Myself in London and Inma in Paris.  Do you use rate explorer to search for cost rates?  Yes

Attached rate sheet and rate explorer, with exceptions of Exports into Far East/Asia, where the rates are obtained case to case basis via email from carriers.  Do you also use the shared drive for cost’s?  Yes, but it is only limited to pass on the costs to the operators, so that they can check the invoices before processing.

It can expediate the whole procedure of getting the quotes out to the customer.

Eventually, when we have the rates in Cybertrax, we can get the reports, which can help us negotiate better rates with carriers.

This requires a lot of data entry, so is agree as proposed, one common office can be incharge.

We need to look into different places for rates, compare and then manually do the quotes. This is time consuming and delays the quotes to the customers.

Current business process

NY Office

Like air rate management, research, and quoting is handled by the Isales team.

Contracted Rates

NY manages all of the contracted rates for:

  • TPWB (Trans Pacific West Bound)
  • TAWB (Trans Atlantic West Bound)
  • TAEB (Trans Atlantic East Bound)

They have contracts in place with:

  • NYK (Nippon Yusen Kaisha)
  • OOCL (Orient Overseas Container Line)
  • Yang Ming
  • Evergreen
  • APL (American President Lines)
  • ANL, US Lines, and CMA CGM group
  • Cosco

All Contracts are received as a word documents via email.

When they are received, they are reviewed and if necessary negotiated. Once agreed upon, the contract is signed and filed with the steamship line.

Once the rate has been filed with the steamship line, the ISales department will forward this on to Management Dynamics to be entered into Rate Explorer.

Management Dynamics requires all contracts are received in Word documents.

Rate Explorer is the current program used to manage and research contracted rates.

Non-Contracted Rates

ACL is one steamship line that we are using, but we have no contract with.

ACL is only used going to two destinations:

  • Liverpool
  • Dublin

ACL will send a PDF attachment via email with rates for these destinations. These rates will be valid for 30 days.

This PDF will be used to determine the cost's within the 30 days of receiving it. If it is past the 30 days, the ISales team will email ACL for updated rates.

Occasionally a co-loader will be used for FCL shipments. This is not the preferred way, but sometimes they will be able to provide space on a vessel that we cannot book with the steamship line or offer lower rates then the steamship line.

They will email the co-loader for a rate or search the co-loaders website. The co-loader will email back with the rate listed in the email. Like spot rates for air shipments, this rate will be valid only for the specific shipment it is requested for.

London Office

Rates in the London office are managed by Anshu Maddan.

The London office does handle Ocean line contracts.
